QUOTE STUDIO

A CLEARER WAY TO QUOTE

From your rates
to a clear quote.

A practical guide to the free Quote Studio device workspace. No account or upload is needed.

Edit reusable rates safely

Open the rate book and choose Edit rate to update a description, unit, price or taxable default, including when all 100 rate slots are in use. Its identity and currency stay the same. Save rate changes applies the update to future additions; existing quote items, saved revisions and private costs retain their own values. Cancel edit or close the editor to discard unsubmitted changes. A rate in another currency can be edited, but can only be added to a quote with that currency. No currency conversion is performed.

Device save status still applies. If another tab saves newer work or storage fails, export your workspace backup before leaving; the open changes remain in memory. Reopen a saved rate if its values changed while you were editing.

1. Define the project

Enter your business and client details, project title, quote number, issue date and expiry. Describe the included work, exclusions and terms so your client can understand the estimate. Use “Try an example” for fictional sample data; replace the names, rates and terms before sharing.

Choose USD, CAD, EUR, GBP or AUD. Changing currency changes the label only. It does not convert any amounts.

2. Add items and reusable rates

Enter a description, quantity, unit and unit price for each item. Quantities support three decimal places and unit prices two. Mark taxable items individually, then enter one exclusive tax rate, a quote-wide percentage discount and an optional proposed deposit.

The rate book saves your own prices in their original currency. Adding a rate copies it into the quote: later edits do not change the saved rate or other quotes.

How totals are calculated

  1. Multiply each quantity by its unit price and round half-up to cents.
  2. Calculate the quote-wide discount once and round it to cents.
  3. Allocate discount cents proportionally across lines. Largest fractional remainders receive leftover cents; line order resolves ties.
  4. Apply the tax percentage to the sum of discounted taxable lines and round once.
  5. Add tax to the discounted subtotal. Calculate the proposed deposit from this final total.

The deposit is an informational amount. It does not reduce the quote total, and the app does not collect payment.

Worked example: a small repair

Two hours of non-taxable labor at $50.00 plus one taxable material item at $20.00, with a 10% discount, 5% tax and 25% proposed deposit:

Subtotal
$120.00
Discount
$12.00
Taxable amount after discount
$18.00
Tax
$0.90
Quote total
$108.90
Proposed deposit
$27.23
Balance after deposit
$81.67

These are illustrative inputs, not a tax-rate recommendation. Supply and verify the treatment for your project.

3. Save a revision and review the changes

Draft edits save automatically in this browser, including unfinished numbers. “Save revision” freezes a valid snapshot. Open History and choose “Compare with current draft” to review changes to scope, terms, dates and individual items, along with the total difference.

Items are matched by their saved identity, so duplicate descriptions remain distinct. Position changes are shown. Different currencies display separate totals without a conversion or delta. If the draft contains unfinished numbers, the comparison still shows your edits and asks you to complete them before comparing totals.

Download a text comparison for your records. Opening a revision as a new draft preserves the original. Neither a revision nor a comparison records customer acceptance.

4. Export and share your document

Use “Preview & print” to check the client-facing quote, then print or choose “Save as PDF” in your browser. The PDF reflects your browser’s paper and print settings. Quote JSON exports preserve a single editable quote; CSV exports preserve line amounts and totals.

A workspace backup includes all drafts, saved revisions and rates. Restore it through My quotes after reviewing the replacement confirmation. Keep these files private: they contain business and client information.

Storage recovery and supported limits

Up to 20 drafts, 10 revisions per draft, 100 items per quote and 100 reusable rates. Unit prices may be up to 999,999.99, quantities up to 999,999.999 and final totals up to 9,999,999,999.99. Quote imports are limited to 1 MB and workspace restores to 12 MB.

If device storage fails or another tab saves newer work, the app keeps your open edits and offers a backup. Export it before reloading. Clearing browser site data removes device drafts. Read the storage and privacy details.

What this preview includes

Local quote preparation, exact calculations, rate reuse, revisions, comparison, exports and browser printing are available now. Cloud accounts, Google sign-in, collaboration, secure customer sharing, signatures, acceptance, payments and an API are not available yet.

Only a single exclusive percentage tax is supported. There is no location-based tax lookup, inclusive or multiple tax calculation, invoice collection or currency conversion.

Check private costs before sharing

Open Private cost worksheet and enter your expected cost per quoted unit. Include the costs you expect to bear; this tool does not determine tax treatment or market rates. Every line needs an explicit cost: blank means unknown, while 0 is an intentional zero. Direct cost is quantity × unit cost rounded half-up per line, plus your project overhead and a contingency reserve rounded once on direct costs plus overhead.

Profit is discounted quote revenue minus those estimated costs. Customer sales tax and proposed deposits are excluded. Margin is profit divided by revenue; zero revenue has no defined margin. This is estimated profit based on your entries, not accounting or realized profit.

Cost example

2.5 units at a customer price of $100, with a 10% discount, gives $225 of revenue before tax. At $40 cost per unit, $20 overhead and 10% contingency, estimated cost is $132 and profit is $93: a 41.33% margin. A 20% target needs at least $165 of net revenue. Target revenue rounds up to cents and never edits your prices. If you apply a quote discount, allow for it in your gross prices.

Costs follow item identities when reordered. Newly added or duplicated items start with unknown costs. Changing quote currency requires resetting the private worksheet, after confirmation; no conversion occurs. Workspace backups and saved revisions include private costs. Duplicating a draft or opening a revision copies its worksheet independently. Old revisions without costs start with a blank worksheet.

Customer quote JSON, CSV, comparison text and printable documents exclude private costs. A cost-only revision can therefore show no changes in the customer comparison. Workspace backups use version 2; this app also reads legacy version 1 backups. Older app versions cannot read version 2. Keep workspace backups private.
